The right data collection tool depends on where the data has to end up. For school IEP caseloads, SLP Toolkit ($29 a month or $215 a year) is the purpose-built option, with tap-per-trial data, cue tracking, and one-page progress reports. AbleSpace has a free plan for individual providers that still includes graphs and reports. SLP Now pairs data collection with a probe library and draft progress notes. If you drill on an iPad, Articulation Station Hive scores every activity. And a free printable data sheet is still enough for many sessions.
Disclosure: we build Ga-loo, one of the options below. It puts trial logging next to each week's articulation practice pack. We say where other tools do more, and every price and feature was checked on the vendor's own site or app store listing on 16 October 2026.

What should articulation data include?
For school SLPs, the requirement comes from IDEA. Every IEP must describe how the child's progress toward the annual goals "will be measured" and "when periodic reports on the progress the child is making toward meeting the annual goals (such as through the use of quarterly or other periodic reports, concurrent with the issuance of report cards) will be provided" (34 CFR 300.320(a)(3)). ASHA lists documenting progress among an SLP's core roles in treating speech sound disorders (ASHA Practice Portal).
For an articulation goal, a useful record of each session holds five things:
The exact target: sound and position (initial /s/), a cluster (st), or a pattern (fronting).
The level: words, phrases, sentences, or conversation.
Correct out of total: 17/20 is more useful later than "85%", because it shows how many trials there were.
Cue level: independent or cued. Speechy Musings' free sheet, for example, marks "G = gestural cue, T = tactile cue, V = verbal cue" next to each +/–.
Probes: a periodic check on untrained words, which shows whether the skill is spreading beyond the practised list.
Many articulation goals use 80% accuracy across sessions as the mastery criterion, but the criterion is whatever the IEP or plan of care says.
What is the best data collection software for school SLPs?
SLP Toolkit
SLP Toolkit is built for the school SLP's year: present-level assessments, a goal bank, daily data, progress monitoring, and progress reports. Daily Data uses "+ and - buttons" per goal, averaged into a percentage, with fraction and frequency goals as alternatives. Its "elicited accuracy" option records cues, and the help center suggests tracking self-corrections for articulation students. The progress report puts "the goal, the data points behind it, the average, and a progress graph on one page" for any date range. It also imports a caseload from CSV and has a Medicaid copy-for-billing button.
It costs $29 a month or $215 a year, with every feature and unlimited students, and district licenses are $235 per license per year. There is a 30-day trial, but a card starts it and there is no free plan. Our SLP Toolkit review covers the rest.
AbleSpace
AbleSpace is a caseload and IEP goal tracker for special education teams, and its Basic plan is free for individual providers. Free includes unlimited students, standard goal types, auto-generated graphs, automated reports, data export, scheduling, service-time tracking, and the mobile apps. Student groups, data averages, Medicaid billing, and bulk tools are paid features. It offers "10+ measurement types", including accuracy ("record total attempts, accuracy percentages, and error patterns") and prompting levels, and it can turn uploaded paper data sheets into graphs.
The free plan is the most generous here. The iOS app is lightly reviewed (3.6 stars from 5 ratings), so try the web version first.
SLP Now
SLP Now combines a materials membership with a therapy planner. For data, you "pull up the student's goal, select a probe from the library, and document their accuracy"; the probe binder has over 2,000 probes. It handles percentage, ratio, and occurrence goals, records support from "a customizable dropdown", and drafts a progress note from a date range with "accuracy rates, trends, and support levels". SLP Now says it is designed to complement IEP software, not replace it.
It is $29 a month or $249 a year, including the materials library, with a 14-day trial that needs no card. See how much SLP Now costs.
The Digital SLP has announced a Caseload Planner with data collection for fall 2026, but on 16 October 2026 it was still in beta, so we have not reviewed it.
Which data tools fit private practice?
Ambiki
Ambiki is a practice-management EMR for pediatric therapists, with scheduling, documentation, billing, and teletherapy. Its data model is different: "simply write your session note and Ambiki will automatically extract objective data", which then feeds "easy-to-interpret graphs that show progress from baseline measurements." The Professional plan is $59 per user per month, a limited plan is $25, and there is a one-month free trial. It suits clinicians who want data inside their notes and billing, not a stand-alone tally.
TallyFlex
TallyFlex is an applied behavior analysis (ABA) data app that also markets to SLPs and special education teams. It records percent correct with bulk entry of a 10-trial set, runs up to 10 student sessions at once, works offline, and exports CSV and Excel for free. Prompt levels, PDF reports, and programs need a paid plan. It is free for up to 2 clients, then $27.99 a month for Solo, and is rated 4.3 stars on both iOS (88 ratings) and Android. Its vocabulary is ABA-first, so expect some setup.
Is there a good articulation data app for iPad or phone?
Articulation Station Hive is the strongest choice if you already drill on an iPad: "scoring is available in every activity", it records correct, approximate, and incorrect responses with notes and recordings, and it graphs performance by sound. Progress can be shared with parents. It requires each participant's name and birth date, runs only on Apple devices, and costs $14.99 a month or $119.99 a year for Pro after a 14-day trial (4.5 stars from 613 ratings).
Simple counters work if you only need a tally. Tally by Agile Tortoise is a free general-purpose counter (4.7 stars from 1,800 ratings). Newer SLP-specific tally apps such as SpeechTally ($2.99) and Speech Count (free) add instant percentages but had no ratings yet. Older apps such as Percentally Pro ($14.99) have not been updated since January 2021.
Free articulation data sheets and spreadsheets
Communication Community offers a free articulation data collection sheet as a direct download with no login, for recording phonemes and blends in initial, medial, and final position, for one child over time or for a group.
Speechy Musings' free data sheet on TpT (4.86 stars from 99 ratings, TpT login needed) has spots for 10 trials with +/– and cue letters.
Communication Window's articulation data sheet on TpT (4.9 stars from 60 ratings) is an editable Word file that records "target sound, position, context, 20 data points, percentage, and prompting needed".
Speech Therapy Store keeps a roundup of 35 free data sheets.
Google Forms and Sheets can turn a form into a live spreadsheet with graphs. SLP Now's founder described the setup in a 2016 tutorial: it "took me a few hours to set up all the forms", and she used only initials. Google's own rule: "Customers who have not signed a BAA with Google must not use PHI in Google Workspace or Cloud Identity services" (Google). A school account may already have an agreement in place; ask your district.
Every Ga-loo session pack also prints with a data sheet and untrained probe words, and our free word list PDFs have trial boxes next to every word (word lists).
Ga-loo: weekly practice with the data attached
Ga-loo is not IEP software. It is a weekly articulation practice tool with the data layer built in, which is why it sits on this list.
Students are short codes, like JT or A3, with an age band. There are no fields for names or birth dates.
Each student gets up to 3 active goals: a sound and position, one cluster, a vocalic /r/ variant, a minimal pairs process, or a Cycles pattern.
Each session logs correct out of total, the level (word, phrase, or sentence), the cue level (independent, model, or cue), and whether it was practice or a probe of untrained words. In screen mode for teletherapy, the ✓ and ✗ taps can be saved as the session.
Each goal shows the baseline, the last three sessions, the latest probe, and a graph against the 80% line, plus a progress-note draft built from those numbers. No AI writes about the child.
One click makes this week's pack for a goal, with new words; words from the last two packs go to the back.
Honest limits: it covers articulation and phonology only, not language, fluency, or behavior goals. There is no IEP goal import, scheduling, service-minute tracking, Medicaid billing, or CSV export, and no native app. Free covers up to 3 students with 5 packs to start and 3 a month after; Pro is $79 a year or $9.99 a month for up to 60 students.
Student privacy: what each tool stores
Tool | Student details it asks for | What the vendor says about compliance |
|---|---|---|
SLP Toolkit | Name required; "a school or generic ID can easily be substituted"; optional birth date, school, grade, IEP dates, ICD-10 code | FERPA; "SLP Toolkit is not a covered entity under HIPAA, and is not a business associate"; BAA information on request |
AbleSpace | Name, school, grade, birth date, teacher, IEP and evaluation dates, eligibility | "Fully HIPAA and FERPA compliant"; standard BAA in its terms |
SLP Now | Not published | "All student data is stored on a HIPAA-compliant server"; standard BAA in its terms |
Ambiki | Name, birth date, gender | HIPAA, with a signed BAA |
Articulation Station Hive | Name and birth date required | Complies with COPPA, HIPAA, and FERPA "as applicable" |
TallyFlex | Client records you create | BAA on Solo and Teams plans; "FERPA-ready for district Teams" |
Google Sheets | Whatever you enter | No PHI without a BAA with Google |
Ga-loo | Short code and age band | No names or birth dates collected |
These are the vendors' own statements. Before you enter student data anywhere, check your district's approved-vendor list or data privacy agreement. Using initials or codes instead of names reduces what is exposed if an account is ever compromised.
Which data collection tool should you choose?
School SLP who writes IEP progress reports: SLP Toolkit, or AbleSpace if the budget is zero.
You want materials and data from one membership: SLP Now.
Private practice with notes and billing: Ambiki.
You drill on an iPad already: Articulation Station Hive's built-in scoring.
You want weekly articulation practice and progress data in one place, with no names stored: Ga-loo.
You just need to count: a free printable sheet or a tally app.
Frequently asked questions
How do SLPs collect articulation data?
Most mark each trial as correct or incorrect (+/–), note the cue level, and convert the tally into a percentage at the end of the session, either on a paper data sheet or in an app. Periodic probes of untrained words show whether the skill generalizes.
What percentage means an articulation goal is met?
Many goals use 80% accuracy, often required across several sessions, but the IEP or plan of care sets the criterion. Record correct out of total, not just a percentage, so the number of trials is visible.
Is there a free speech therapy data collection app?
Yes. AbleSpace's Basic plan is free for individual providers with unlimited students, graphs, and reports. TallyFlex is free for up to 2 clients, and Ga-loo's free plan covers 3 students with goals and graphs.
Can I keep speech therapy data in Google Sheets?
Google says customers who have not signed a business associate agreement must not store protected health information in Google Workspace. School data usually falls under FERPA, and many districts have their own agreement with Google, so ask your district what is allowed and use initials or codes instead of names.
How do I collect data in teletherapy?
Use a tool that records trials on screen, such as Ga-loo's screen mode or Articulation Station Hive's scoring, or keep a paper data sheet beside the screen. Our teletherapy articulation guide covers the setup.
